Job Summary

The Secretary is a crucial member of the Board of Directors, responsible for maintaining accurate records, ensuring effective communication, and supporting the overall governance of the organization. This role involves managing board documentation, coordinating meetings, and ensuring compliance with legal and regulatory requirements.

Job Responsibilities

  • Meeting Coordination: Schedule, organize, and coordinate board meetings, including preparing agendas and distributing meeting materials.
  • Record Keeping: Take and maintain accurate minutes of board meetings, ensuring they are distributed to board members in a timely manner.
  • Documentation Management: Maintain and organize all official records, documents, and correspondence related to board activities.
  • Compliance: Ensure compliance with legal and regulatory requirements, including filing necessary documents with government agencies.
  • Communication: Serve as the primary point of contact for board communications, ensuring effective and timely dissemination of information.
  • Support to Board Members: Assist board members with administrative tasks and provide support as needed.
  • Policy and Procedure Development: Assist in the development and review of organizational policies and procedures.
  • Event Coordination: Help organize and coordinate special events, fundraisers, and other activities as needed.

Time Commitment:

  • Attend quarterly board meetings and committee meetings.
  • Approximately 10-15 hours per month for administrative and coordination tasks.

Qualifications

  • Strong organizational and administrative skills.
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy in record-keeping.
  • Ability to manage multiple tasks and prioritize effectively.
  • Familiarity with nonprofit governance and best practices.
  • Proficiency in using office software and tools (e.g., Microsoft Office, Google Workspace).
  • Commitment to the mission and values of the organization.
