Job Summary

The Program Specialist is a key individual contributor responsible for providing ongoing support, guidance, and project oversight for program leaders.  The Program Specialist also advocates for NTN’s programs by building and maintaining relationships within the communities assigned and serves as an ambassador of NTN.

Job Responsibilities

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assist the Chief Program Officer, Program officers, and RPMs with program tasks, such as:
  • Creation of documents and presentations
  • Updating Family and Staff Forms
  • Finding opportunities for community outreach providing oversight of logistics and communicating with appropriate staff
  • Work with the communications team to ensure that staff members have marketing material and are prepped for community events
  • Order supplies
  • Check for program referrals and send to the appropriate Sr. Leader
  • Organize records for all site and accreditation visits
  • Confirm trainers for program-specific professional development
  • Coordinate Calendars to schedule program meetings and secure rooms
  • Manage assigned projects on time with accuracy
  • Develop and facilitate internship program including recruitment of interns and matching to learning opportunities with the agency.
  • Help onboard new staff by registering them for core training, setting up program-related meetings/training, and setting up new log-ins (Salesforce, Familywise, HFA E-Learning, etc)
  • Help initiate the offboarding process for direct service staff, inc. deactivating licenses, ensuring communications to external partners are sent out, updating documentation, and coordinating transfers of families
  • Collaborate with teams to continually evaluate, implement, and improve programs
  • Attend PO meetings to create records of events
  • Maintain up-to-date, accurate, and detailed documentation and database records to assist with standard data entry and reporting request
  • Pull Survey Monkey data for staff when needed
  • Help manage appropriate Team channels
  • The work schedule includes some evening and some weekend hours to best meet the needs of our families and volunteers.

  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to manage priorities and relationships with multiple stakeholders
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Emotional maturity
  • A good balance between a resourceful team player and the ability to be extremely effective independently
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe email, internet, and Canva
  • Must be able to meet documentation requirements
  • Reliable transportation and a valid driver’s license
  • Preferred experience providing supportive services to young children and families
  • Experience in working with culturally diverse communities/families

EDUCATION AND/OR EXPERIENCE

Graduation from an accredited college or university with a bachelor’s degree in a related field; 3+ years of related experience; or equivalent combination of education and experience.
