Job Summary

The Office Manager and Program Assistant are responsible for playing a pivotal role in the smooth operation of our organization. This includes overseeing the Nashville Jazz office, managing operations of the building, and assisting the Artistic Director with both performances and education classes. The Office Manager reports to the Executive Director and works closely with other staff members to achieve the organization’s mission. Full-time salaried position.

Job Responsibilities

Responsibilities will include but are not limited to:

  • Opening the NJW Office from Monday to Friday, 10 am to 4 pm.
  • Managing incoming calls, voicemails, and emails, directing them to the appropriate staff members.
  • Assisting in ticket sales for performances and maintaining our Salesforce database.
  • Coordinating community event survey cards and overseeing facility cleaning and maintenance schedules.
  • Assisting with daily bookkeeping.
  • Managing inventory and procurement of office, concession, and facility supplies.
  • Supporting our Jazzmania fundraiser, including utilizing Greater Giving software and assisting with day-of-event activities.

Booking – Program Assistant: 

  • Assisting with outreach to potential artists, following up with calls and emails, and sending contracts after bookings.
  • Collecting promotional materials such as bios, photos, EPKs, etc., and organizing them in our Google Drive for staff access.

Class/Education – Program Assistant: 

  • Collaborating on class planning, scheduling, and enrollment.
  • Contacting potential teachers, sending contracts, and collecting necessary materials for marketing.
  • Coordinating with marketing for promotional materials and assisting in coordinating Jazz AM performers.

Qualifications

  • Proven experience in office management, administration, or related roles.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication abilities, both verbal and written.
  • Proficiency in Microsoft Office Suite and experience with Salesforce, Greater Giving, or similar databases is preferred.
  • Interest in jazz music and commitment to the mission and values of the Nashville Jazz Workshop.
