Executive Assistant to CEO

Skills & Knowledge Required:

· Ability to effectively communicate to various internal and external audiences both in person, and through various            electronic media.

· Highly organized with strong time management and attention to detail; thrives on accuracy ad timeliness

· Demonstrated proficiency in Microsoft Suite with a strong technical aptitude and writing skills

· Ability to multi-task in a fast-paced environment while maintaining a pleasant and professional demeanor

· Self-motivated, proactive and committed to confidentiality

· Excellent collaboration and strong customer service skills.

· Knowledge of the developmental, mental, emotional, relational, and social needs of children, youth, and young adults      preferred.

· Must be willing to occasionally travel and have access to reliable transportation with active auto insurance

Job Responsibilities

Duties & Responsibilities/Principal Activities:

· Demonstrate enthusiasm for all services of TNV and be fully knowledgeable about the regions where services are            provided, and benefits of TNV services.

· Provide support to the CEO and executive team as directed to ensure that company goals and objectives are               accomplished, and operations run efficiently.

· Maintain and refine internal processes that support the highest-ranking executives company-wide, coordinating               internal  and external resources to expedite workflow.

· Manage communication between upper management and employees, liaising with internal and external executives on      various projects and tasks.

· Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and         best  practices are upheld.

· Manage professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements,       client management, and other company logistics.

· Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives.

· Manage, coordinate, and arrange senior executives’ travel and travel-related activities.

· Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database.

· Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.

· Maintain regular and reliable attendance while accurately recording and managing time keeping records to ensure seamless operations and contributions to team productivity

· Uphold and promote the organization’s values, mission and ethical standards in all interactions

· Organize team communications and plan events, both internally and offsite.

· Work closely with the CEO and provide input to coordinate and oversee the development of the outreach and engagement efforts for the organization.

· Assist with the promotion of activities and outreach through social media outlets as well as mental health stigma reduction.

· Ensure that we conform to CARF standards applicable to the services provided.

· Other duties and/or tasks as assigned.

While performing the duties of this job, the employee is frequently required to position themselves in a sitting position, talk, and/or hear (with or without aide). The employee is regularly required to remain stationary, use hands to finger, handle, or feel and reach with hands and arms. The employee is frequently required to keyboard and enter data at a computer. The employee is frequently required to operate a motor vehicle, move throughout homes or buildings and may be required to climb stairs in a variety of community-based and office settings. The employee must learn new tasks, remember processes, maintain focus, complete tasks independently, make timely decisions in the context of workflow, communicate with team members, program participants or community partners. Must have the ability to complete tasks with speed in situations that ensures the safety of others. Employees must move supplies and equipment up to 25 pounds. Specific vision abilities required by this job include vision, ability to adjust focus and operate a vehicle safely. The employee must have access to reliable transportation. Employees are required daily to remain alert and engaged to safely operate vehicles and ensure the safety of others. The work environment includes indoor office environments or comparable spaces, and community spaces, with occasional exposure to outdoor weather when traveling to meetings. The noise varies by sites and meetings.

Qualifications

Qualifications: Minimum of high school diploma or equivalent required. Bachelor’s degree in marketing, communications, business, or related field preferred. At least three years’ experience working with executive and board level staff. Non-profit experience preferred. Work history that demonstrates experience in marketing, public relations, or communications.
