Summary:
Our Administrative Assistant provides support, coordination, system & project management for the organizing, maintenance, and flow of information. As a member of the team, this position interacts with staff, leaders, and volunteers, serving as a hub for our CRM, calendar, zoom scheduling, digital infrastructure, support for courses, and events & programs. This position is an integral part of the team that supports the community, grows the organization, and provides excellent mission-driven service. This position adds consistency, systems, and infrastructure to CSLDallas.
Job Responsibilities
Duties & Responsibilities:
The primary responsibilities of this role include, but are not limited to, the following:
ADMINISTRATIVE COORDINATION
- Acts as the gatekeeper of the CSLDallas master calendar by managing its daily, weekly, monthly, and annual reservations.
- Schedules the use of rooms for internal and external purposes such as classes, events, meetings, and rentals
- Facilitates and coordinates the scheduling of the annual education calendar.
- Oversees the Center’s Zoom accounts, and schedules meetings/webinars.
- Creates and maintains registration forms for classes, workshops, and events. Using Eventbrite, MS365, and FellowshipOne forms.
- Oversee the management of the Text Program content, portal, schedule, inbox, contacts, and messages whether for inspirational content or for marketing/communication requests
- Provides information and facilitates communication with staff, leadership & community regarding registrations, confirmations emails, etc.
ChMS (database) MANAGEMENT
- Oversees the use and users of FellowshipOne and InFellowship (ChMS)
- Maintains accurate information for individual profiles, attributes, groups, etc.
- Facilitates the creation of registrations, forms, groups, and group resources for courses, events, teams & programs.
- Create and schedule mass email communications through ChMS
- Manages student records including the creation of student transcripts
- Runs reports and mailing lists, etc as needed
- Maximizes the highest and best use of the database through self-directed training
- Ongoing research, assessment, and recommendations of CSLDallas’ database needs and updates
GENERAL SUPPORT
- Ongoing maintenance and updates for courses, curriculum, and teacher/student needs
- Supports groups and teams in managing their files in MS365 Teams and InFellowship
- Coordinates the teams, channels, and file structure in MS365 Teams
Qualifications
Skills & Qualifications:
- Administrative experience with scheduling, spreadsheets, data & project management
- Proficiency in Microsoft Office 365 (Outlook, Teams, SharePoint, Word, Excel, PowerPoint), Zoom, database or CRM/ChMS
- Excellent written and verbal communication skills
- Significant attention to detail
- Show initiative, be proactive, be self-motivated, and have excellent follow-through
- Willing to learn new ideas and use new software
- Ability to be a proactive team player
- Ability to interact with diverse people
