Governor’s Early Literacy Foundation (GELF) equips Tennessee’s children with books and innovative literacy tools that encourage lifelong learning for a brighter future. GELF is a non-partisan 501c3 driven by a mission to strengthen early literacy in Tennessee by acting as a thought leader, advisor, and catalyst for programs across the state. These programs include Birth-5 Book Delivery through Dolly Parton’s Imagination Library, K-3 Home Library, Caregiver Engagement, Book Buses, and Storybook Trails. GELF was founded in 2004 by former Gov. Phil Bredesen as a public-private partnership to sustain Dolly Parton’s Imagination Library in Tennessee, giving all birth to age five children the opportunity to receive books in the mail at no cost to families. GELF has grown from solely a book-gifting program partner to an early literacy organization driven by a vision where all Tennessee children have access to the resources, guidance, and support they need to become lifelong learners.
Job Summary
We are seeking an experienced Accounting and Systems Coordinator to manage financial records, reconcile accounts and ensure accurate financial reporting. Reporting directly to the Director of Finance, the Accounting and Systems Coordinator will ensure that all financial transactions are recorded on a timely manner, maintain the accuracy and integrity of financial data across systems and platforms and implement tools and systems to improve financial data management and reporting efficiency.

Job Responsibilities
Essential Functions
Bookkeeping & Recordkeeping:
- Manage accounts payable and receivable, ensuring timely processing of invoices and payments while maintaining accurate customer and vendor accounts.
- Conduct regular reconciliations of financial records to maintain accuracy and up-to-date information.
- Reconcile bank statements and company credit card transactions to ensure all discrepancies are addressed promptly.
- Record monthly journal entries, cash transactions, and prepare related account reconciliations including bank reconciliations, prepaid expense, accrued expenses, accounts receivable and deferred revenue.
- Communicate with vendors, customers, and internal stakeholders regarding billing, payment issues, or account inquiries.
Financial Reporting:
- Assist with the preparation of monthly, quarterly, and annual financial statements (income statement, balance sheet, cash flow statement).
- Actively maintain and review designated general ledger accounts and activity.
- Investigate reporting discrepancies and communicate issues, effectively and in a timely manner.
Compliance & Data Support:
- Ensure data integrity for assigned accounts/programs including consistent compliance with internal controls for financial reporting and data security.
- Assist in managing accounting software and systems, ensuring data is correctly entered and reports are developed and generated as needed.
- Stay updated on new accounting software or technology tools that could improve efficiency.
- Maintain and further improve internal accounting databases.
- Develop robust financial and program data dashboards.
Qualifications
Education
- College degree in accounting, finance or 3-5 years of equivalent work experience.
Experience
- Previous experience in bookkeeping or accounting.
- Familiarity with accounting software such as Sage Intacct is a plus.
- Knowledge of Salesforce a plus.

This position reports to the Director of Finance.
Supervisory Responsibilities:
This position has no direct report responsibilities.
Hours & In Office Expectations:
Our foundation is currently working on a hybrid schedule of in-office and remote work. This role will be expected to be in our offices on Wed/Thurs and ‘as needed’.

Our Hiring Process:
We value the people we bring onto our team. As a result, we are careful in our selection process. As an applicant, here is what to expect:
- Phase 1 – Selection of potential candidates – we will filter the most qualified candidates into the top 10 and let them know via email that they have been selected.
- Phase 2 – Preliminary interview – this will be a short 15–20-minute virtual interview to help us narrow down the candidates to the top 3-5 most suitable applicants. You may be asked to complete an additional assessment to prepare for the interview.
- Phase 3 – In-person interview and team meeting – we will invite the top 3 candidates to come to our offices for an in-person interview and for candidates to meet our team. It’s an opportunity for interviewees to get to know our team and for our team to get to know the potential candidates. This usually takes 1.5-2 hours.
- Phase 4 – Selection and Job Offer – once we have narrowed our search, our hiring committee will decide and make a candidate a conditional offer.
