Job Summary

The Business Services Coordinator plays a critical role in ensuring efficient operations, excellent patient experiences, and organizational success. This position coordinates administrative, operational, and team functions while managing and supporting the electronic medical records (EMR) system to ensure seamless processes. A focus on operational excellence, and team performance is central to this role.

Job Responsibilities

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Center Operations

  • Ensures the mission of Special Kids is consistently achieved through interactions with team members, patients, and their families.
  • Coordinates daily with the scheduler to achieve success by targeting optimal patient volume, reducing operational issues, and increasing productivity.
  • Analyzes operations and generates reports on performance metrics, therapy outcomes, and service levels to enhance patient care and operational efficiency.
  • Assists with budget tracking, expense reporting, and financial reconciliation.
  • Cross trains to support patient services staff.
  • Ensures effective and efficient workflows by promoting best practices.
  • Develops, adheres to, and enforces organizational policies and procedures.
  • Promotes the strength and unity of the team, fostering collaboration and mutual support.
  • Review timecards and approve administrative forms.

Electronic Medical Records (EMR) System Management

  • Collaborates with leadership and staff to identify and resolve issues within the EMR system, communicating resolution status promptly.
  • Acts as a liaison between the organization and EMR representatives by submitting tickets for issues that cannot be resolved in-house.
  • Updates the EMR system, including setting up or disabling user accounts and adding or inactivating operational codes.
  • Establishes security rights for EMR users in coordination with a Director/Lead, ensuring compliance with HIPAA guidelines.
  • Generates and compiles information from various EMR reports monthly or as needed by Directors/Leads.
  • Review EMR data and patient accounts as needed, conducting research and analysis to determine appropriate actions.
  • Conducts periodic chart audits and quality reviews to ensure clinical documentation compliance.
  • Creates training videos to provide clarity on EMR usage or procedures.
  • Attends meetings and conferences and participates in other activities to promote professional growth.

Education and/or Experience

Bachelor’s degree from a four-year college or university in Business Administration, Health Administration, or other related program. 3 years of proven experience with compliance is preferred.

Computer Skills

To be successful in this job, an individual should have basic computer skills and the ability to learn new software and web-based applications.
