Interfaith Dental is a volunteer-driven nonprofit agency that helps vulnerable populations achieve and sustain a healthy smile. Funded by donations, grants, and heavily discounted patient fees, Interfaith Dental’s mission is to create a healthier community by providing transformational oral health care for those experiencing poverty.  Interfaith Dental is well known and respected statewide and has been in existence for 30 years, currently serving vulnerable populations in two clinic locations covering a ten-county region of Middle Tennessee.

The role you will play

The Executive Assistant & Residency Coordinator will support the Chief Executive Officer (CEO), Chief Program Officer (CPO), and the Chief Officer of Statewide Initiatives (COSI) in carrying out the administrative functions of the leadership team.  This role will also coordinate and recruit for the dental residency program as well as provide executive support-related duties. This position will report directly to the Chief Executive Officer.

Job Responsibilities

The Executive Assistant & Residency Coordinator contributes to the success of Interfaith Dental and its impact on the community by participating in a wide range of responsibilities and activities.

  • Responsible for scheduling tours, meetings, speeches, occasional travel, and engagements for the CEO.
  • Assist with correspondence from the CEO.
  • Supports CPO and COSI as needed with departmental administrative functions as well as to interact with other departments.
  • Organizes and maintains digital documents of C-Suite and the organization.
  • Assist with the preparation and presentation of materials.
  • Manages NYU resident recruitment process, onboarding, and administrative functions.
  • Key liaison with Vanderbilt, TSU, University of Louisville, and other dental training programs for the rotations of their externs.
  • Informs board members of meetings, and news and distributes meeting minutes and reports.
  • Assist in creating agendas, minutes, presentations, and materials for all board and committee meetings.
  • Plan meeting schedules for the entire agency as well as plan and coordinate the quarterly all-staff day to include booking rooms and providing technology support.
  • Manage process for room usage for internal and external partners as well as be the main point of contact for all logistics with external partners for their meetings/events on site.
  • Ensure compliance with the Board of Dentistry, TDA, and others for study club CE and related training programs.
  • Assist with organizational needs such as project tracking and progress to include technology and facilities follow-ups.
  • Maintains confidentiality while handling confidential and sensitive information relating to the successful running of the organization.
  • Manage and monitor office supply inventory and purchasing.
  • Sort and distribute incoming mail for the entire organization.
  • Performs other duties and special projects as needed.

Qualifications

What you will bring

  • A bachelor’s degree from an accredited university or work equivalent is required.
  • A minimum of 2 years of work experience as an administrative assistant with a preference towards executive support.
  • Proficiency with Microsoft Excel, PowerPoint, Outlook, and Word is required.
  • Proficient knowledge and skills utilizing technology used in meetings are required.
  • Excellent time management skills with a proven ability to meet deadlines required.
